AI Knowledge Systems

Toolkit

Creating an efficient knowledge architecture is essential for organizations aiming to optimize information flow and accessibility. Start by identifying the core topics and subtopics relevant to your business. Use clear, consistent labeling and categorize information logically to enhance findability. Implement user-friendly navigation paths and ensure that your information hierarchy aligns with user needs and search behaviors. Regularly review and update your architecture to accommodate new knowledge and evolving business priorities.
Optimizing for User Experience and Scalability
Focus on designing scalable structures that can grow with your organization. Incorporate feedback mechanisms to understand how users interact with your knowledge base and make iterative improvements. Utilize metadata and tagging to support advanced search capabilities and AI-driven content recommendations. By prioritizing both usability and adaptability, your knowledge architecture will serve as a dynamic foundation for effective knowledge management and technical communication.

Mastering Knowledge Architecture: A Step-by-Step Guide to Structuring Information Effectively

The integration of artificial intelligence into documentation workflows is revolutionizing how technical writers and knowledge managers create, manage, and deliver content. AI-powered tools now assist in automating repetitive writing tasks, enhancing content accuracy through real-time error detection, and personalizing documentation based on user roles and preferences. These advancements not only boost productivity but also improve the overall quality and relevance of technical documents.
Impact of AI on Knowledge Services and Information Architecture
In 2024, we see a growing emphasis on AI-driven knowledge graphs and semantic search technologies that enable more intuitive information retrieval. Organizations are adopting AI to streamline knowledge infrastructure, reduce content silos, and foster collaborative documentation environments. Staying informed about these trends is crucial for businesses looking to maintain a competitive edge through innovative knowledge services and technical writing strategies.

Technical Content is most effective when it is intentionally designed, structured, and maintained. Solis Design helps organizations create documentation and content systems that improve usability, support adoption, and scale with business growth. Modern organizations generate enormous volumes of information, but information alone does not create clarity. Solis Design helps organizations transform content into coherent, navigable knowledge systems that are easier to create, maintain, discover, and use.Our work brings together technical content strategy, documentation architecture, and knowledge architecture to support both immediate communication needs and long-term organizational growth. Our services include:

technical writing and documentation

API and developer documentation

content strategy and planning

editorial review and content optimization

documentation and information architecture

structured content strategy

knowledge modeling

taxonomy and navigation systems

content governance and lifecycle management

workflow analysis

scalable publishing frameworks

The result is a sustainable knowledge ecosystem: content that is clear and useful to its audience, structured for efficient management and retrieval, and designed to scale as products and organizations evolve.

We have experience and expertise in evaluating authoring platforms for emergent, startup, and growth companies. Often, only one of two aspects of the authoring requirements are considered leaving a considerable number of the authoring process missing.Behind this demo is a robust checklist of the documentation process. We have selected a few of the current platforms to compare against our checklist.Contact us for a demo of our Cuttle Authoring Tool EvaluatorTM.

About Me

C. A. Solis helps organizations transform complex information into scalable knowledge systems that improve usability, adoption, and organizational understanding. She works at the intersection of documentation architecture, content strategy, developer experience, and AI-enabled knowledge workflows. Her practice extends beyond traditional technical writing into the design of integrated knowledge ecosystems. She develops the structures, workflows, and governance models that help organizations create, manage, and scale knowledge effectively. Her work draws on information architecture, docs-as-code methodologies, and emerging AI technologies while remaining grounded in a simple principle: knowledge must remain understandable. Her experience spans AI, GraphQL, observability, big data, developer tooling, mobile technologies, video streaming platforms, and satellite systems. She has worked with Duvo.ai, Chief.ai (formerly Storytell.ai), Stellate, Atlassian, Splunk, LinkedIn, and other technology-focused organizations.Underlying this work is a longstanding interest in how people discover, interpret, and share complex information. Clarity matters. So does structure. Carefully designed systems make both possible.

Purpose
Transform product demonstrations, feature walkthroughs, and recorded training sessions into structured documentation drafts.Technical writers frequently receive information in the form of Loom recordings, Zoom meetings, screen captures, webinars, and informal product demonstrations. Converting these recordings into publishable documentation often requires multiple viewings, extensive note-taking, content organization, and editorial review. The Demo-to-Documentation Workflow accelerates this process by transforming transcripts and recordings into structured documentation drafts. By combining organizational knowledge assets with AI-assisted content generation, the workflow produces review-ready documentation while preserving organizational writing standards, terminology, and documentation practices.
Result
When implemented, this workflow should produces a structured documentation draft and a companion SME Review Checklist, enabling technical writers to spend less time organizing information and more time validating, refining, and publishing high-quality documentation.
Workflow Overview
Upload Video or Transcript → Load Knowledge Assets → Select Documentation Template → Enter Prompts To Run Workflow → Generate Documentation Draft → Review SME Checklist → Validate → Publish
Upload Sources and Knowledge Assets (Optional but Recommended)

Sources

Product demonstration video

Video transcript

Meeting transcript

Screen capture transcript

Knowledge Assets

Company Style Guide-- Defines writing style, voice, formatting, and terminology

Audience Personas - Tailors content to the intended audience

Product Glossary - Ensures consistent terminology

Existing Documentation - Prevents duplication and maintains consistency

API References - Validates technical terminology

Coding Standards - Reviews code examples and commands

Documentation Standards - Applies organizational documentation practices

Quality Review Checklist - Initial editorial checks

Deny List - Instructions to guide the AI to avoid certain practices.

When multiple knowledge assets are supplied, organizational standards take precedence over default AI conventions.
Upload How-To Topic Documentation Template
Template PurposeDefines document structure to teach users how to complete a specific task.Sample SectionsTitle | Overview | Prerequisites | Procedure | Expected Results | Related Resources
Specify AI Workflow Role
Act as an experienced Technical Writer and Documentation Architect. When Knowledge Assets are supplied, adopt the organization's documentation standards, terminology, writing style, audience guidance, and editorial conventions.
